How Much Can You Make In Medicare Renewals?

AEP Outreach Tips


September is an important month for kicking off your pre-AEP outreach campaigns.  Strategizing for both existing client retention and new client prospecting is crucial.

New Client Prospecting

Leads, Seminars, Educational Events, Grassroots Marketing… there are so many ways to gain new clients.

Compliance Note:  Remember, new CMS rules (effective September 30, 2023) state that agents must not distribute SOAs or set appointments at Medicare educational events. You can distribute permission to contact forms, business reply cards, and your business cards. A marketing event must not occur within 12 hours of an educational event at the same site.


If you haven’t already done so, pre-order your supplies and marketing materials from the carriers to be able to hit the ground running for AEP.  Don’t forget to stock up on business cards, flyers and promotional items (every senior loves a good pill box or Medicare card holder, not to mention another coffee mug).

As always, be sure to stay CMS compliant with all of your outreach efforts, marketing materials and events.

Existing Client Retention

If you already have a Medicare book of business, your initial focus should be on retaining your existing clients.  Let’s face it, you worked hard for that client and they are now a source of unlimited renewal income.  The best thing you can do to sustain this is to be proactive in your outreach.  If you don’t, another agent will!

Your existing clients are your best source of referrals.  When  you proactively reach out to them for the Annual Enrollment Period (AEP), be sure to let them know to tell their friends and family.

Compliance Note:  If you receive referrals, CMS compliance rules state that you cannot cold call or text these prospective clients – you must secure a permission to contact or wait for the prospect(s) to contact you first.  One option to overcome this is to provide your existing clients with your business card to pass on to referrals so that they can contact you directly.

Automation & Technology

There is never a replacement for human interaction, but you can take care of the tedious tasks with automation and technology.  Don’t forget to use your CRM or marketing platform to reach out to clients on special occasions, like their birthday and anniversary, as well as holidays.  You’d be surprised at how much an automated text or email will brighten their day (and  increase your retention). 

Don’t forget those pre-AEP and pre-OEP automations; they are sure to keep your clients on the books and not answering the non stop phone calls from call centers.

There are so many ways to obtain clients.  Here are some to consider:

Educational Workshops and Seminars: Host in-person or virtual workshops and seminars that address common concerns of seniors, such as retirement planning, long-term care, or Medicare options. Provide valuable information and position yourself as an expert in the field.

Senior-Focused Content Marketing: Create blog posts, articles, and guides that cover topics relevant to seniors, like healthcare, insurance options, and estate planning. Optimize your content for SEO to attract organic traffic from search engines.

Social Media Engagement: Utilize platforms like Facebook, LinkedIn, and YouTube to engage with seniors. Share informative content, testimonials from satisfied senior clients, and host live Q&A sessions to address their questions and concerns.

Personalized Direct Mail: Sending personalized direct mail to seniors can be effective, especially for those who may not be as active online. Consider including brochures, informative booklets, or special offers in your mailings.

Referral Programs: Encourage your existing clients to refer their friends and family members to your services. Offer incentives or discounts for successful referrals.

Collaboration with Senior Centers and Retirement Communities: Establish partnerships with senior centers, retirement communities, and assisted living facilities. Offer to provide educational sessions or information booths on insurance and other relevant topics.
